Unit-level records for developers and sellers

A property business is easiest to review when every unit has its own record. Keep a unit register showing the sale price, payment plan, amounts invoiced, amounts received, handover status and the sale agreement reference. The total of the register should agree to the receivable and deferred income balances in the ledger.

Buyer instalments received before handover are usually held on the balance sheet. They stay there until revenue can be recognised under your policy. Where funds must go through a designated account, keep the bank statements and the release approvals together.

Brokerage, rental management and service charges

Agencies and property managers handle money that belongs to other people. Keep tenant deposits and rent collected for landlords apart from your own operating cash. Prepare a monthly statement for each landlord showing rent received, fees deducted, expenses paid and the amount remitted.

Commission income should be supported by the signed brokerage agreement, the transaction record and proof of the buyer or landlord payment. Agent payouts should follow a documented commission scale and be approved before release.

Reconcile service charges collected from owners to the budget approved for the building. Show unspent amounts as a balance owed back, not as your income.

Investment property and project costs

If you hold property to earn rent, keep the title documents, purchase invoices, fit-out costs and valuation reports in one file per asset. Capitalised costs such as legal fees and registration charges should be separated from running costs like repairs.

For property under development, collect costs by project: land, design fees, contractor certificates, infrastructure and finance cost. Review contractor payment certificates against progress reports before booking them, and keep a schedule of commitments not yet invoiced.

Rental guarantees, handover penalties and defect claims are commitments. Put them in a schedule even before an invoice arrives, so a reviewer can see the full exposure.

Common gaps in real estate company accounts

Escrow account records

For developers, project escrow accounts must be reconciled and withdrawals supported.

Off-plan revenue

Sales of units under construction require a documented approach to recognising revenue.

Brokerage commissions

Commission income and agent splits need agreements and timing evidence.

Tenant deposits and service charges

Deposits are liabilities, and service charge funds must be kept separate from owner funds.

The plan, in order

Reconcile escrow monthly

Match withdrawals to approved project costs.

Track payment plans

Monitor installments due and overdue against the sales register.

Support commission claims

Link every commission to a signed deal and payment.

Separate trust funds

Keep deposits and service charges apart from operating cash.

Licence and scope

Numerix Accountants holds licence No. 1360308 for accounting and bookkeeping, tax consulting and cost control and risk management. Statutory audit and audit opinions sit outside that licence.

Quick answers

What is RERA compliance in the accounts?

It covers requirements such as escrow handling and records for Dubai property activity, which your accounts should evidence.

Is VAT the same for all property supplies?

No. Residential leases, commercial leases and sales can be treated differently, so each category needs review.

Can you handle service charge accounts?

Yes, we prepare the budget versus actual statements.

How should tenant security deposits be shown?

As a liability to the tenant, with the deposit register agreed to the bank balance that holds the funds. They are not income unless the tenant forfeits them under the lease.

What supports a rental income figure?

The lease schedule, invoices raised, receipts and a reconciliation of expected rent against rent collected, with vacancy and arrears explained.

How are commissions payable to agents tracked?

Use a commission register by deal with the status of the client payment, the agent's share, the approval date and the payment date.

Do off-plan sale records differ?

Yes. They need payment schedules per buyer, milestone evidence, the sale agreement and a clear link between construction progress and the revenue treatment you apply.
